database A database is a collection of
information arranged in a certain order.

file
A file is an organised collection of related records.

record
A record is a set of related information about an item or
an individual.

field A field holds one piece of
information. Each field has two parts NAME and CONTENTS.

Microsoft Access
Is one of the most widely used database packages.
2.
data types
Access has many different data types; Text, Number,
Date/Time, Currency, Yes/No and Auto Number.

text Letters, symbols and numbers i.e. Alphanumeric data.

numbers
Numbers only (no letters. Includes numbers with decimal
points.

currency For all monetary data. Access will insert a currency
symbol before the amount (such as £ or $).

yes/no Used wherever the field can only take 2 values, Y/N,
True/False etc.
3.
auto number - This is a unique value guaranteed by Access for
each record.

date/time Dates and times can be
written in a specific format.

database structure
What the table looks like without any information in, i.e the design
of the table.
2.
data
This is the information which you put into the table.

primary key Every table in Access must have a primary key. The
field which you specify for the primary key must have a different value
for each record.

insert rows
An icon found on the toolbar which inserts a new row
in the database table.

validation The process of checking that the data meets various rules
is called validation.

validation text The text Access will show to the user if they enter
invalid text.

- Less than, e.g. <20 means less than 20

<= - Less than or equal to e.g. <= Less than or equal to 20

> - More than, e.g. > 20 means more than 2

>= - Greater than or equal to e.g. >=20 means more than or
equal to 20

= - This means equal to, e.g. =20 means equal to 20

BETWEEN This tests for a range of values. Must be two comparison
values (a low and high value separated by AND operator).

sort ascending Records are sorted in
ascending order, i.e. in alphabetical order.

print preview Allows you to see your
database before printing.
3.
landscape By clicking on the File menu and choosing Page Setup you
can change your page to landscape which means your page will be
sideways.
4.
hiding colums sometimes you may not want to print all the columns
in the datasheet. You can hide the columns that you dont want.

report Allows you to present data in
a wide variety of ways. They can be based on queries or on tables.
2.
dialogue box
A window that lets you specify what you want to do.

text box The text box icon ab1 allows you to add text into the
report.
4.
properties box
- Allows you to add a count function into your report.

Microsoft PowerPoint
A graphics presentation package. You can use it to create, design and
organise professional presentations quickly and easily.
2.
design template This allows you to add a colourful background to
your presentation.
3.
slide layout - PowerPoint gives the user options on how to lay
their slide out.

placeholders
These allow the user to add objects such as text,
clipart or a chart to the show. |
